PTG BOARD OF DIRECTORS

 

President/Co-Presidents - Serves as Chief Executive Officers of the CMS PTG. Ensures that the objectives of the organization are carried out according to the By-Laws. Establishes times for, set agendas for, and preside over PTG Board meetings. Fosters relationships with other Concord PTGs. Oversees committee work via Board Members. Works with the PTG Board to address concerns and needs. Attends Back to School Nights, monthly Superintendent/PTG President meetings and various events during school year.  Duties are year round. Can be a one or two year commitment. 

 

Vice President of Communication - Works with and assists President/s to facilitate clear communication between the board and the community. Attends PTG Board Meetings. Gathers, curates and sends the information for the weekly newsletter, and communicates with the middle school community through announcements as need, and ensures information is available on the website. Duties are year round.

 

Vice President of Engagement - Recruits parents to participate in events and fill roles with the organization. Works with engagement teams (parent programming, international celebration etc) to support their programming and events. Creates sign ups for volunteers. Attend board meetings, assist lightly year round. 

 

Treasurer - Responsible for accounts payable and accounts receivable for the PTG organization. Keeps accurate records of receipts and expenditures. Disburses funds of the organization in accordance with the annual budget and By-Laws. Prepares annual PTG budget for upcoming year. Attends PTG Board meetings. Responsible for any IRS- required reporting.  Duties are year round.

 

Clerk - Attends PTG Board meetings. Records and publishes the minutes of all PTG meetings. Maintains a current file of monthly agendas, minutes, yearly committee reports, and PTG By-Laws.   Duties are year round.

  

Past President - If still a CMS parent, attends PTG Board meetings and serves in an advisory capacity to the Board.

COMMUNICATIONS COMMITTEE ROLES

 

CMS Connection - PTG Weekly newsletter - Responsible for gathering, editing, and producing short articles and notices for the weekly PTG newsletter, the CMS Connection, which is distributed as an email on Mondays. Coordination of calendars and solicitation of articles is often necessary. Knowledge of HTML and/or web publishing software is helpful.  Duties are year-round with a couple of hours work per week.

 

CMS Website - Manages and updates PTG website. Maintains links with district and town sites. Works with Communications Reps and CMS Connection Editor to ensure access of information important to the middle school community. Work done as needed throughout the year.

 

Directory - Responsible for coordinating all material for annual CMS School Directory, including cover design, school calendar, district personnel contact info. Work is done at home during late summer and early fall. Directory will be on-line this year; printed directory TBD

 

 

ENGAGEMENT COMMITTEE ROLES

 

Charity & Service - Schedules and assists with various initiatives throughout the school year. This is a new initiative, and the main focus will be to create service opportunities for students/ families. Writes updates for the CMS Connection and also submits information about other charity and service opportunities around town. Work is as needed throughout the school year. 

 

Movie Night - Organize a winter movie night at CMS. Recruits volunteers to help plan & staff event, including volunteers for concessions.  Work concentrated during the two weeks prior to the event, which, ideally, will be in the winter

 

International Cultural Celebration - New initiative to celebrate and educate our students’ diverse and rich cultures. Duties include establishing the date and structure, set-up and clean-up, recruiting participants for food and activity booths, publicizing the event, and recruiting volunteers as needed. Event might be fall, work concentrated in the month leading up to the event.

 

Parent Programming - Identifies and arranges special cultural or informational programs for CMS parents and families. Programs aim to support parents navigating the middle school parenting transition, foster community and offer enrichment opportunities for families. Coordinates schedule of programs with educational calendar. 

 

 

 

FUNDRAISING COMMITTEE ROLES

 

Annual Appeal – Manages the Annual Appeal fundraiser in the fall. Obtains possible incentive prize. Writes and distributes appeal letters and thank you notes. Communicates regularly with PTG Presidents, Treasurer, and the CMS Connection and Website committees.  Work concentrated at the end of August/early fall and as needed throughout the year.

 

Sponsorships – Raises funds by obtaining sponsors for various CMS PTG media outlets and events. Works with the other Concord schools, for directory sponsorships, PTG Presidents, Treasurer, Fundraising Reps and committee chairs as needed.  Work is almost exclusively in early fall, but may have small duties year-round.

 

Fundraising Initiatives - Promotes a few fundraising events throughout the year. Past years' fundraising initiatives include WECO collaboration, Minted Promo, Hypnotist Event, Raffles, and Shopping nights. Responsible for producing event with the support of the board. Tasks might include promoting and staffing any initiative. 

 

 

SCHOOL COMMUNITY COMMITTEE ROLES 

 

8th Grade Celebration Committee - Coordinates, with eight grade teachers and Principal, events for eighth grade students and families, specifically the semi-formal. Most work concentrated in the spring.

 

CMS Spiritwear - Reviews opportunities to purchase and resell items such as tee shirts, sweatshirts, hats and/or other items with Concord, CMS, CCHS etc name and/or logo. Works with supplier to select items and determine pricing. Sets up booth to sell/show items at various school events, especially Open House and Back to School Nights. Work with website to manage online sales. Prepares report summarizing events with recommendations for next year. Work concentrated in late summer and start of school year. Continues as needed at events throughout the year.

 

Faculty Grant Committee – Review grant applications, notify grant recipients, send photos and updates for the CMS Connection newsletter, assists Treasurer and grant recipients as needed.  Work is year-round as necessary. 

 

Field Day - Coordinates the PTG biggest event of the year. pretty straightforward tasks of booking the vendors for event dates, light work to organize some games and parent volunteers.  Work is done in March for planning, and then event in June.

 

New Families Committee - Facilitates the orientation of new families entering Concord CMS, at the beginning and throughout the school year. Organizes New Family Welcome emails, working off archived letters, and other hospitality tokens through out the year. Work as needed throughout the year.

 

Grade Socials - event with DJ and pizza, help in early fall, two events, and one in spring. These are simple,  formulaic events with little production effort. Confirm date/s with the principal, promote the event through the CMS Connection, and recruit parent  volunteers. Supervise set-up and breakdown of the event.  Work concentrated during the weeks prior to the event. Mostly booking DJ & hiring ice cream truck, and ordering pizza.

 

METCO Liaison- METCO family rep to serve as a bridge between the Family Friends Coordinators, the METCO CPS director, and the METCO PTG. Collaborate on community building ideas, address needs, and help organize opportunities to improve the METCO students' experience at CMS.  

 

Quiet Spot – Determines which CMS events need a quiet area for students and attendees. Recruits qualified volunteers to supervise Quiet Spot. Finds available area at each event. Manages supplies needed to run this area. Communicates with event coordinators to publicize availability of Quiet Spot.  Work as needed at events throughout the year.

 

School Photo Day - Coordinates annual school pictures with principal, teachers, and school photographer. Responsible for contract with photographer. Promotes the event and sends reminder notices. Oversees the process on photo day and retake day. Coordinates volunteers to assist on these days. Organizes the sorting and distribution of picture packages. Prepares report summarizing event with recommendations for next year. Work is mainly limited to days of photo shoots (about 4 hours each day) and about 8-12 hours of administrative work.

 

SEPACS Liaison - The Special Education PAC Liaison is responsible for providing support to parents in the CMS community and communicating information to the Concord-Carlisle Regional School District SEPAC as needed. Create a bridge between the PTG and SEPAC PTG. Work is year-round as necessary.

 

Social Media - maintains CMS social media accounts. Post relevant info to keep the community connected and engaged. Duties are year round. 

 

Staff Appreciation - Coordinates staff appreciation events throughout the school year.  Recruits volunteers to contribute food or other items for events. Work is year round as events occur.
